WELWYN FESTIVAL GROUP

 

Minutes of meeting held on Wednesday 11th June 2003

 

Present: Andy Trotter (chair), Roger Aubrey, Ruth Brett, Trish Brown, Sheila Catlin, Brian Connelly, Shirley Guy, Barbara Primrose, Phyllis Richmond, Chris Thompson, Mungo Thomson.

 

Apologies: Arthur Jones, Sandi Wood.

 

1. Fun Day – Welwyn Sports & Social Club quite happy to do the bar on Fun Day – have the licence & will provide tent.

The group will need a decent sized tent to cover the Band’s electrical equipment.

The beer tent would like to be next to the Kiwanis & Jazz Band – band will need flooring and power.

 

2. Programme – Now being distributed. Everyone thought how excellent it was.

 

3. Advertising - Herts FM continuing to advertise Festival Week. Adverts have been sent to Welwyn Hatfield Times. Banners & placards ordered & should be put out next week. Placards from Oaklands to Welwyn along the roadside & on the roundabout. Banner for the Quality Clock Hotel railings has been purchased. Posters to go up on lampposts & trees. Mather Marshall signs to go up. The banner is already up at the Fire Station.

 

4. Topstars – Leaflet to be produced giving names of judges & what they will be looking for. At the moment we need a few more participants.

 

5. Street Market – 55 stalls have been confirmed. Phyllis gave £455 to Mungo.

As much help as possible on the morning is required to unload tables from 7am onwards.

Marshals needed at the end of the Street Market to move people on as soon as their cars are unloaded. Bunting to be put up as usual.

The Amersham Garland Dancers confirmed.

Bunting across the street to be organised for next year, if fixings can go up later this year on tall buildings.

 

6. Picnic – Music group very keen & will play almost anything.

All people taking part have received a map.

St. Albans Morris Men also confirmed. The Water Board has put dual lock on gate for Singlers Marsh. We also have the Councils key. Andy to check both keys work. Permission for car park received. May charge 50p for parking. Nettles are a problem along the riverbank for the Duck Race.

Welwyn Ladies Circle to organise more help on the bridge.

 

7. Prom – Unfortunately a few performers have not been able to take part but Roger has a full show anyway.

Prom tickets on sale as from today (11th June). Two tickets to be given to the Welwyn Hatfield Times.

 

8. Photographic Competition – We had 36 entries for the under 11’s & 13 entries for Adults.

 

9.Finance - £2,638 in current account plus cheques received this evening. There is about £1,500 to be paid out.

 

10. Family concert – St Mary’s School at 6pm. A professional group called Fourte will be playing. They have asked children to bring silly hats & some item of percussion. Sponsorship received for about £100. Posters are being put up advertising the event.

 

11. Family Fun Day – Visibility jackets & buckets needed. It was thought that the judges ought to be familiar with the Harry Potter story.

Andy has done a draft of the Arena stalls & events. Nigel the Klown will also teach the children how to drive his car.

The Community Policeman is coming to all events.

Programme of events on day to be displayed around the arena. Andy to get these blown up & copies made.

We have 5 dustbins, but more are to be purchased for the day.

People setting up for Fun Day to be available to help from 9am – 12am.
