WELWYN FESTIVAL GROUP

 

Minutes of Meeting held on Wednesday 21st March at Welwyn Pavilion

 

Present:   Roger Aubrey (Chair), Ruth Brett, Trish Brown, Sheila Catlin, Shirley Guy

Arthur Jones, Phylis Richmond, Chris Thompson, Mungo Thomson, Sandi Wood.

 

Apologies:   Andy Trotter, Brian Connelly and Barbara Primrose.

 

1.   Photographic Competiton:   Letters sent to both St. Mary’s  and Oaklands Schools.  St. Marys’s very happy to take part, Oaklands have not yet replied.  The title for the photographs to be “My Welwyn”.  Danesbury shop to be asked to advertise and to collect entry form – The proposed entry form was shown to and approved by the Committee.

 

Roger thought it would be a good idea to have outside professional people to judge the competition and everyone agreed.  Sandy knew of certain people who might be willing.  The photographs are to be in by 31st May and displayed in the Main Hall of the Civic Centre if possible on Tuesday and Thursday evenings.  Maximum size 10 x 8.  Advertising to go ahead very quickly as time is short.  Welwyn Times to be contacted.  Display boards needed.  Paul Jiggins to be asked if we can borrow some of his display boards.                                                                                              SW

 

2.   Finance:   To date we have a balance of £2845 – 98.  £1213 from Programme receipts.

 

3.   Street Market:   34 Tables have been booked and paid for.  Holly Clog Dancers unable to attend – Chris has this in hand with possible new contact.                 CT

 

4.   Dog Show:   advance planning not really needed but will be advertised in programme.  Few posters at a later date.                                                              PR

 

5.   Picnic:   Nothing to report.

      Family Fun Day:    Chris has found the name of contact who hires out tables and chairs from Oaklands.  £3.75 each table and £1 each chair.  He will deliver and

collect.  Chris was asked to order 30 chairs plus appropriate number of tables.  Chris also agreed to ring ex WI members to see if they would make some cakes.        CT

 

6.   Fun Day:    Owl display unable to come.

                           PA  man to reply.

                           Ice cream man booked for all days.

                           Sweet man and candy floss lady coming with kiddies roundabout.

                           Scarecrow competition poster now done.

                           Tug of war to go ahead if we get enough support.

                           Social Club still running the beer tent.

                           White Horse ro run wine tasting tent.

                           Raffle again this year.

                           Public liability insurance in hand.

 

Fun Day Parade:   Four organisations plus Fire Brigade have replied so far to confirm they will be taking part. A risk assessment is to be provided to the Police.

Pat  Morris – 1st Welwyn Brownies has requested as mentioned before, would like to run the Bouncy Castle and Inflatable Slide as they were so successful last year in running these and would like to do the same again – this was duly noted.

 

6.   Welwyn Top Stars:   Brian King to be one of the judges, Dilys Buckley has agreed and Lyn Gamblin is to be asked also.

 

It was suggested that perhaps Ian Drewitt who runs a very successfully disco for the Welwyn Sports and Social Club should be asked if he would MC the event for the Top Stars. He has now agreed if B. C. wishes him to do so.                                SC                                                                                                             

 

7.   Publicity:   Brian Connelly wants copies of previous programmes, posters etc.

 

8.   Programmes:   Barbara to organise.   5000 copies to be distributed around Digswell, Tewin, Oaklands, Woolmer Green and Welwyn.  Printers want copy by 6th   May. All events to be advertised - cover to be done first.                                   BP/TB

 

9.   A.O.B.    The vet wants to do an open afternoon on Sunday from 12-4pm.

      Worries were expressed as to whether Linda has been asked yet as to whether she is able to get the licence for the Prom Night and Bar for Fun Day to be run by the Social Club. Now in Hand.                                                                              LD

 

Date of Next Meeting:   21st May 2003 at Roger Aubrey’s, Bird House, rear of 18 Church Street, Welwyn.  Entrance between Rogers house and Rose Cottage.
